One of the main concerns of the project manager is whether the desired resource will be available or not to perform a given task on a specific date and for the period necessary for its completion.
Therefore, it is extremely important to understand how to consult the availability of each resource in order to balance workloads, perform an efficiency review and avoid risks with the easy identification of the impact that a given unavailability can cause at each stage of the project.
Step by step to consult resource availability in Project Online
For the project manager to find resource information and display a chart and table of their availability, just access Project Online and follow the following steps:
- In Project Online, go to “Resources” on the menu on the left side.
- Then select Features, located in the upper left corner.
- Select the name of the resource you want to see the availability information.
- Select the option “Capability Planning” in the Resource tab > Browse section, located in the upper right corner.
- Once this is done, a chart with the capacity and availability of the selected resource will be displayed.
- The Resource Chart shows the workload and availability of an individual resource. This display mode allows easy visualization of overlocation or suballocation of the feature in a given period.
- Below the graph is displayed the table of Details, containing the resource's capacity and availability information.
- To check the details on which projects the feature already has allocated hours, just click “Project Assignments”.
- If necessary, the project manager can change the date range you want to see by clicking “Set Date Range”.

Note: You can select more than one feature and get the preview. However, it is necessary to note that the capacity will consider the amount of resources selected! Example: 2 resources of 8h, total = 16h.

In this case, the chart displays the capacity of 8 hours because the capacity is based on the calendar created for the Project.

And then, a screen will be displayed to set the desired date range.
