New Planner: New Resources for Task Allocation

As has been repeatedly pulricated on this blog, the new Microsoft Planner has received a series of supplements gradually. These improvements solidify the goal of the new Planner in gathering in just one place the simplicity of Microsoft To Do, the collaborative capacity of Microsoft Planner and the management power of Project for the Web.

Here we list four features that have become available in the experience for Teams of the new Microsoft Planner. These updates are not yet available in all regions, so you may not be able to see them in your application yet.

Team Publishing Support

It is now possible to create and assign tasks to entire teams instead of manually selecting users. For example, in a team with ten members, you can create a task and each person will receive this assignment individually. Thus, the task ceases to be for the team as a whole and becomes a task for each individual.

Recurrent Tasks

A highly requested feature, already present in Project Desktop, is the ability to create recurring tasks. This functionality is especially useful in scenarios where certain activities need to be carried out periodically. In the new Planner, you can set the frequency of these tasks (daily, weekly, monthly or annual), and it will automatically schedule these activities.

Requirements for Completion of Tasks

The new Microsoft Planner offers two ways to set requirements for completion of tasks. This means that a resource can only mark a task as completed when these requirements are met.

Microsoft Forms

One of the ways to define requirements is by filling out forms. When creating a task, you can insert an integrated form with Microsoft Forms. In this model, members will not be able to mark the task as completed until the form is properly completed. For example, you may need to send a photo of the completed work, and this request may be a mandatory item within Microsoft Forms.

Another way to set requirements is through a detailed checklist created in the task itself. The task can only be marked as finished after all the checklist steps have been completed.

Approval completion request

Another resource that will be available soon is the requirement for completion of approval. With an integration with Microsoft Approvals, the task must follow an approval stream before it can be marked as complete.

In practice, the project manager may designate an activity to User A, and mark as a requirement that it be approved by User B. After User Entering the completion of the task, User B will receive the request, make the activity conference and once approved, the task will have its conclusion validated.
